Accommodation Terms and Conditions

All accommodation bookings are subject to availability and will be confirmed upon receipt of payment or in accordance with the agreed payment terms.
A booking confirmation will be issued by email once the reservation has been confirmed. The confirmation will include the reservation dates, room type, and applicable check-in and check-out information.

Cancellations received before 22 December 2026: No cancellation fee will apply.
Cancellations received from 22 December 2026 to 6 January 2027: A cancellation fee of 10% of the total accommodation cost will apply.
Cancellations received from 6 January 2027 to 5 February 2027: 100% of the total accommodation cost will be charged.
No-shows: Failure to arrive on the scheduled check-in date will result in a charge of 100% of the total booking value.
Early departure: Guests who check out before their confirmed departure date will not be entitled to a refund of any prepaid accommodation.
All cancellations and amendments must be submitted in writing and will only be considered valid once acknowledged by the Housing Agent.
The Secretariat reserves the right to cancel a reservation without further notice if payment is not received within seven (7) working days of the invoice date.

Payment must be made within the stipulated payment period. Failure to make payment by the due date may result in the cancellation of the accommodation reservation.
All accommodation fees are payable in South African Rand (ZAR) within seven (7) days of the invoice date.
Any short payment resulting from bank charges, international transfer fees, or exchange-rate fluctuations will be for the attendee's account.
The Secretariat reserves the right to amend published rates should the prevailing VAT rate (currently 15%) change, or should any additional government levy, tax, or statutory charge be introduced.
Guests are responsible for all additional charges incurred during their stay that are not included in the confirmed accommodation rate. These charges must be settled directly with the hotel upon check-out.
Guests may be required to provide a valid credit card at check-in to guarantee payment of any incidental charges.

Check-in: From 15:00 onwards.
Check-out: By 10:00.
Early check-in and late check-out are subject to hotel availability and may incur additional charges. Such requests should be made directly with the hotel.

Guests are responsible for settling any costs or services not specifically included in their confirmed accommodation package.
Any additional charges incurred during the stay must be settled directly with the hotel upon check-out.
Guests are responsible for complying with the hotel's rules and regulations throughout their stay.
