Booking on behalf of another participant? Please ensure that the account is created using the participant's own email address, not your own. Each participant must have their own individual profile. Using the same email address or profile for multiple participants will result in the participant's information being overwritten, as only one registration can be associated with each profile.

If you are registering on behalf of a participant, you will have the option during the registration process to provide your own email address so that you are copied on all registration correspondence, while the participant remains the primary account holder.

Group Bookings (5 or more participants): If you wish to register a group of 5 participants or more, please email satnac@allevents.co.za. Our registration team will process the registrations and provide the relevant confirmation and invoicing.

What happens next?

• Confirmation Email: Once your registration has been submitted successfully, you will receive an email confirming that we have received your registration.

• Invoice: Our Accounts Department will verify your billing information and issue your invoice within 48 hours of your registration being submitted, provided your billing details have been completed correctly.

Cancellation Policy & Terms and Conditions

Please read the following carefully before proceeding with your booking.

Club Med has a strict cancellation policy, and the organisers are unable to make exceptions or negotiate reduced cancellation fees. These conditions are imposed by Club Med and apply to all bookings made through SATNAC.

It is your responsibility to ensure that:

• You are certain of your attendance and funding before making a booking.

• Payment is made within the required timeframe.

• You understand that cancellation fees apply regardless of whether payment has been received.

Cancellation Charges

Should you cancel your booking, the following cancellation fees will apply:

• 14 April 2026 – 11 July 2026 (91 days or more before arrival): 30% of the total package price.

• 12 July 2026 – 9 September 2026 (90–31 days before arrival): 60% of the total package price.

• 10 September 2026 – 10 October 2026 (30 days or less before arrival): 100% of the total package price.

Please note: Failure to make payment does not release you from these cancellation terms and conditions.

Payment Terms

• Payment Deadline: Full payment must be received within 7 days from the date of the invoice.
• Payment Methods: Payments may be made via Bank Transfer, Credit Card, or Direct Deposit (available exclusively to South African delegates), as specified on the invoice.
• Purchase Orders: We understand that the standard policy for many institutions is to issue purchase orders and process payments on a 30-day cycle. However, as conference registrations require payment within the stipulated deadline, we kindly request that participants submit a special request or motivation to their Finance/Accounts Department for the purchase order and payment to be expedited. This will help ensure that registration can be confirmed before the applicable registration deadline and avoid any increase in fees or loss of registration.
• Payee Details: All payments should be directed to INNOVATIVE RESEARCH AND EVENTS trading as SATNAC.
• Currency: All fees are to be paid in South African Rand (ZAR).
• Hotel Policy: Upon check-in, hotels will require a credit card imprint to cover any incidental expenses not included in your booking.
• Credit Card Payments: The amount charged to your credit card will be calculated in South African Rand, based on the prevailing exchange rate on the day your payment is processed.
• Invoice Reference: Please ensure that your invoice number is indicated on all money transfers. Kindly email your transfer or deposit slip to the Secretariat, addressed to the SATNAC Secretariat at satnac@allevents.co.za. 
• International Payments: International delegates are responsible for ensuring that the payment amount submitted in foreign currency matches the Rand amount of the registration fee.
• Golf Shirt Sizes: The request for golf shirt sizes is intended solely for planning purposes.
• Cancellations: All cancellation requests must be submitted in writing.

Important Notice

All registration fees must be paid in full prior to the conference. Participants with outstanding balances will not be permitted to attend SATNAC unless a prior written payment arrangement has been approved by the Conference Secretariat. We encourage participants who are experiencing delays due to institutional procurement or payment processes to contact the Secretariat as early as possible to discuss a suitable arrangement.

Amendments

• Any changes to an existing booking will incur an administration fee of R500 per amendment.

Accommodation rates for delegates include the following:

• Registration participation to SATNAC conference and exhibition
• Lunches, Teas and coffees – (Monday 12th, Tuesday 13th, Wednesday 14th October 2026) .
• Golf day entrance (excluding hiring of carts) – Sunday 11th October 2026
• Welcome function on Sunday 11th October 2026
• Club Med Dinner on Monday 12th October 2026 (at leisure)
• Farewell Dinner on Tuesday 13th October 2026
• 4 day packages includes teas/coffees and lunch on Sunday 11th October 2026
• All breakfasts
• Please note: Check in is at 15:00 and check out is 10:00
• Access to the resort's all-inclusive amenities, including restaurants, bars, selected beverages, entertainment, sporting activities, swimming pools and fitness facilities.

Accommodation rates for Spouses/Partners

• Welcome function on Sunday 11th October 2026
• Club Med Dinner on Monday 12th October 2026 (at leisure)
• Farewell Dinner on Tuesday 13th October 2026
• All breakfasts
• Accompanying persons are not permitted to attend the conference proceedings
• Access to the resort's all-inclusive amenities, including restaurants, bars, selected beverages, entertainment, sporting activities, swimming pools and fitness facilities.

Acknowledgement

By submitting your booking, you acknowledge and agree that:

• You have read and understood these Terms and Conditions.

• You accept Club Med's cancellation policy and the associated cancellation charges.

• You understand that bookings are confirmed with Club Med upon submission, and these terms immediately come into effect.

• Neither SATNAC nor the organisers can be held responsible for any financial losses arising from cancellations, amendments, or changes to your booking.
