Summary


TERMS AND CONDITIONS: PAYMENT TERMS:
All fees are payable in South African Rand (ZAR) within seven (7) days of invoice. Any short payment resulting from bank charges and/or exchange rate fluctuations will be charged to the participant.  Or alternatively pay immediately with your Mastercard or Visa.

PAYMENT DEADLINES: (i.e: Early Bird fees) Should a deadline be missed on discounted registration fees, the secretariat reserves the right to charge you the next level of fees.

CANCELLATIONS:
  • Cancellations received in writing by 9 December 2024 will receive a full refund less a 15% administration fee.   
  • Cancellations received in writing by 10 December 2024 until 8 January 2025 will receive a 50% less a 15% administration fee.   
  • Cancellations received in writing from 9 January 2025 will result in full fees payment being due.   
  • We recommend transfer of registration to a new delegate to avoid cancellation fee.   
  • In the event of a cancellation, registrations are transferable to delegates not yet registered.

No sharing of registrations will be allowed at this event.

NOTE: If registering as a group, EACH PERSON must complete a separate registration form and ensure each registration has the delegates email address. For any changes to a registration, please contact +27 (0)21 9101913. Only full prepaid registrations will be accepted by the organisers.


ACCOMMODATION CANCELLATION TERMS AND CONDITIONS

  • Should a booking before 9 November 2024, a 10% cancellation fee will be charged for the full stay or tour. 
  • Should a booking be cancelled after 9 December 2024, a 50% cancellation fee will be charged for the full stay or tour. 
  • Should booking be cancelled after 9 December 2024, 75% cancellation fee will be charged for the full stay or tour. 
  • Should booking be cancelled after 9 January 2025, 100% cancellation fee will be charged for the full stay or tour. 
  • Should the guest check out prior to their departure date – all prepaid money will be non-refundable. 
  • No Shows will be charged for the full stay. 
  • Cancellations and amendments must be submitted in writing and acknowledged by the Housing Agent. 
  • No refunds due to cancellation can be given after 9 January 2025. 
  • The Secretariat reserves the right to cancel your booking without prejudice should the payment not be received in 7 working days from time of invoice issued 
  • All fees are payable in South African Rand (ZAR) within seven (7) days of invoice. Any short payment resulting from bank charges and/or exchange rate fluctuations will be charged back to the attendee. 
  • The Secretariat reserves the right to amend the listed rates should the prevailing rate of VAT (currently 15%) be increased or changed. The same applies should any new levy or tax be imposed. 
  • Accommodation bookings are confirmed once payment has been received in full 
  • Attendees are liable for any additional charges incurred during their stay and will be required to provide credit card details on check in, in order to cover such extras.
Insurance: Conference participants are responsible for taking appropriate insurance cover in connection with their attendance at the conference. The conference organisers and hosts or any individuals associated with the conference or hosts in any capacity shall not be liable for any kind of loss or damage to personal property, delegates or sponsors.

Liability: Neither the committee of the Conference, hosts nor Event Management company accept liability for death, injury, any loss, cost of expense suffered or incurred by any person if such loss is caused or result from the act, default or omission of any person. In particular neither the committee of the Conference, hosts nor Event Management company can accept any liability for losses arising from the provision or non-provision of services provided by local companies or transport operators. The committee of the Conference, hosts nor Event Management company accept liability for losses suffered by reason of war, including threat of war, riots and civil strife, terrorist activity, natural disaster, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates and/or partners in connection with the conference, industrial dispute, governmental action, regulations or technical problems which may affect the services provided in connection with the congress.

Neither the committee of the congress, hosts, nor event management company is able to give warranty that any particular person will appear as a speaker or panelist.
